Subject to the Conditions of Display, application is made for a display site at WESTECH 2017

The objective of the WESTECH Field Days is, “to enhance the efficiency and productivity within the grazing industries of western Queensland, as well as to improve the quality of life for remote area communities”. The type and variety of equipment, product, technology and/or service that shall comprise an exhibit should therefore conform to these guidelines. Any manufacturer, agent, distributor or dealer may exhibit, subject to committee approval.

Exhibitors Welcome Meal

The Westech Committee will host a "welcome to Westech" night on Monday 11th September from 6.00pm to 7.30pm at the field day grounds. Two free meal tickets will be provided per sponsor site (if required). Meals will only be available on presentation of a meal ticket (there will be no cash purchases). Additional tickets can be pre-purchased at $15.00 each below with display site details. A bar will also be operating on the night. For catering purposes, please indicate if you will be attending this function and if you would like to purchase extra meal tickets. Dinner will be 2 courses (roast & dessert).

Forklifts

Forklifts will be available for unloading equipment on Saturday 9th, Sunday 10th and Monday 11th September. Forklifts will also be operating from 5.30pm to 7.30pm on Wednesday 13th September and from 7.00 am on Thursday 14th September for loading.

Forklifts will be moving around in a random pattern. If you need a lift, just let one of the drivers know and they will come back to you in turn. Unloading/loading can be time consuming, so be patient and accept that delays may occur. Forklift operators are volunteers. If they are verbally abused in any way, you will not be unloaded/loaded and will need to make your own arrangements with a private provider.

 

Vehicle Permit

All motorised vehicles (car, trucks, tractors, motorbikes, motor homes, etc) that are part of your exhibit, will require a Vehicle Permit to stay within the WESTECH grounds between the hours of 8.00am and 5.00pm on Tuesday 12th and Wednesday 13th September. Permitted vehicles must be located within your site boundary and must remain stationary at all times between these hours with permit displayed. All vehicles that do not have a permit will need to be removed from the grounds before 8.00am and will not be allowed back in until after 5.00pm. Parking is available outside the grounds.

CONDITIONS OF DISPLAY

  1. The official GROUND SPACE CONTRACT (hereinafter referred to as the Contract) shall be in the hands of the Co-ordinator no later than 25th August, 2017. Late lodgement of same will be accepted subject to availability of display sites.
  2. Should the Westech Field Days Association (hereinafter referred to as the Association) find it necessary or expedient to cancel or postpone WESTECH 2017, the Contract will cease to operate upon notice to that effect signed by an authorised member of the Association being communicated to the exhibitor by mail and/or email to the address shown on the Contract. The Association shall not be liable to any exhibitor for any compensation whatsoever in respect of such cancellation or postponement.
  3. Exhibitors shall ensure that their displays are actively manned between the hours of 8.00am and 5.00pm daily on Tuesday 12th and Wednesday 13th September 2017.
  4. No major structure or item on display shall be dismantled or removed from exhibitor's sites before 5.00pm Wednesday 13th September 2017.
  5. Reasonable security (2 x police officers on duty inside grounds) will be provided by the Association during the hours of darkness on Monday 11th and Tuesday 12th inclusive. Wednesday night (13th) will not be patrolled by the police, but they will drive through on their normal town shift. The Association, however, shall not be held liable for loss or damage to any exhibitor's property at any time.
  6. No exhibitor shall assign, sub-let or part with the whole or any part of their allocated ground space, or purport to do so without the written consent of the Association.
  7. Exhibitors must cover their own Public Risk Liability whilst on the WESTECH 2017 grounds with an appropriate insurance policy. A minimum cover of $10,000,000 (ten million dollars) is required by exhibitors at the Barcaldine Showgrounds for the period from 10th to the 14th September 2017(inclusive) and to include the principles (Westech Field Days Assoc. Inc. and the Barcaldine Regional Council). A certificate of currency must be provided to the Association before display sites will be allocated.
  8. The use of drones is strictly prohibited. Federal Government legislation and insurance exclusions expressly preclude the use of any size or type of drone over a populous area.
  9. Exhibitors shall conform to the requirements of any Act of Parliament which may govern the erection of structures for the display and/or sale of machinery and/or other products or goods of the exhibitor, as well as the Regulations, By-Laws and Ordinances made under any such Act.
  10. Any member of the Association or other person appointed by the Association shall have the power to enter upon the space described at any time and order the removal of any object or other material which in his/her opinion is endangering public safety or is not eligible for display or may be the cause of offence.
  11. No livestock, other than those specifically provided or approved by the Association shall be brought onto the grounds. Provisions covering the welfare of livestock and associated public safety are outlined in the Exhibitor Information section of the WESTECH 2017 Exhibitor Information and must be strictly adhered to.
  12. Permission must be obtained from the Association for any auctions to be conducted by exhibitors at the Field Days and, if granted, a negotiated commission will be payable to the Association.
  13. Any exhibitor wishing to distribute food and/or drinks (including alcohol) or other refreshments from their display site must obtain prior written approval from the Association. Permission will only be granted if health regulations are met and in circumstances which do not impact on the WESTECH 2017 caterers or bar operators.
  14. Exhibitors are responsible for the condition of the space covered by their Contract during the currency of WESTECH 2017 and on the completion of WESTECH 2017; exhibitors shall clear such area to the satisfaction of the Association. Sites not left clean will be charged a $200 cleaning fee.
  15. All motorised vehicles (cars, trucks, tractors, motorbikes, motor homes, etc.) that are part of your display or are in the camping area, will require a vehicle permit to stay within the grounds of Westech 2017 between the hours of 8.00am and 5.00pm on Tuesday 12th and Wednesday 13th September 2017. Permitted vehicles must be located on your site (or in the camping area) and must remain stationary at all times between these hours with the permit displayed. All vehicles that do not have a permit will need to be removed from the grounds before 8.00am and will not be allowed back in until after 5.00pm. Parking is available outside the grounds.
  16. The Association shall have the right to sell by public auction or private treaty or otherwise dispose of any structure or item remaining on the grounds after an expiration of fourteen days from the completion of WESTECH 2017 and may retain for its own use the proceeds of any such disposal. The Association will however consider genuine applications for extension of time.
  17. The Association reserves the right to publish sponsor and exhibitor contact details in the Westech Field Day Product Information booklet and on the Westech web page and to provide such details to the Associations’ preferred advertising agencies.
  18. The Association reserves the right to cancel this Contract at any time if there is, in the opinion of the Association, any infringement of these conditions.

PLEASE ENSURE THAT A CURRENT COPY OF YOUR PUBLIC RISK LIABILITY CERTIFICATE IS EMAILED TO THE WESTECH OFFICE. YOUR APPLICATION WILL NOT BE PROCESSED UNTIL IT IS RECEIVED.

WESTECH Field Days Assoc. Inc. reserves the right to reject exhibitor Ground Space Contracts that are considered inappropriate or not within the objectives stated at the top of this document.
